Noosa Print: Building the Sunshine Coast’s First AI-Enabled Print & Signage Business
How an owner-operated print and signage business cut email admin from two hours a day to fifteen minutes, without hiring, and without losing the personal touch that built it.
the challenge
Running the business from the inbox
Since 2019, Luke has built Noosa Print around a simple split: he runs production, Jennifer handles admin, design and email. It works, but it also means every inquiry, every quote, and every follow-up passes through two people with no system behind them.
Between them, Luke and Jennifer were spending at least two hours a day on email, much of it answering the same handful of questions from warm leads simply checking product availability and pricing. There was no CRM in place, so nothing about a lead or a job lived anywhere except an inbox thread.
Quoting was the harder problem. Noosa Print’s pricing depends on a genuine web of variables (size, paper stock, finish, quantity), which meant every quote was a manual, judgement-based estimate rather than something that could simply be looked up. Invoicing and payment collection sat on top of all of this as one more manual step.
“I was basically chained to my inbox: two hours a day just answering the same questions over and over.”
Our Discovery
Finding the real bottleneck
In the diagnostic strategy session with Luke, it became clear the issue wasn’t a lack of effort or a lack of tools. Luke had already tried to patch parts of this himself. The real problem was structural: the business had no system standing between “an email arrives” and “a job is quoted and confirmed.”
That reframed the brief. Rather than a single automation, Noosa Print needed a layered system: something that could sort incoming email correctly, hold a real conversation with a customer to gather accurate specs, check that submitted artwork was actually print-ready, and only pull Luke in at the exact moment a human judgement call was genuinely needed.
implementation
Built around the business, not the other way around
The system was designed and built in one month. The core build itself came together smoothly. The real work was in adapting the system to Noosa Print’s reality: there was no existing pricing database or structured quoting logic to plug into, so ID Matter AI built that foundation from scratch, using Luke’s own quoting patterns and margins as the source of truth.
A handful of iteration rounds followed launch, refining edge cases and adjusting behaviour as real customer conversations came through, rather than a single rigid build-and-walk-away delivery.
“They got what we needed fast, no drama when things needed tweaking. They built us an actual process around quoting where before it was just whatever was in my head.”

key takeaways
01
Time poverty, not lack of effort, is usually the real constraint. Luke had already tried to solve this himself; the missing piece was a system, not more willpower.
02
A system beats a chatbot. The value here wasn’t “AI answers emails”; it was a connected process: sorting, conversation, validation, and a clean handoff, each doing one job well.
03
Structure can be built even without existing data. The quoting logic was built from staff’s own judgement and patterns, not a template.
04
The real ROI is reclaimed attention. The headline outcome for Luke wasn’t a dashboard; it was getting his evenings back
